Gateway’s 2008 Commencement Ceremony will take place May 16 at 7 p.m. on the second floor of the Northern Kentucky Convention Center at 1 West RiverCenter Boulevard in Covington.
General Information
Faculty and staff should arrive at the Convention Center at 6 p.m. (Commencement committee members and volunteers should arrive at 5:30 unless your task requires an earlier arrival.)
As usual, there will be a locked room available to don caps and gowns and to leave personal items during the ceremony. This is Room No. 3, the Harper Room, which is located near the restrooms in the Madison Lobby on the second floor. (The Madison Lobby faces Madison street.)
This year our event is in Ballrooms A, B, and C. In contrast to past years, another group is using the Convention Center at the same time and will use Ballroom D, which is at the east end of the ballroom group directly across from the elevator. As a result, we will not be able to use the side entrance to the ballrooms. Entry to the ballrooms will be through a single, center entrance off the main RiverCenter Hallway on the north side of the building facing RiverCenter Boulevard. Signage and volunteers will help you find the entrance to the room.
The order of the processional will be Faculty Marshals, Students, Faculty, Staff and Platform Guests. The processional will form in the RiverCenter Hallway. Kevin Donohoo and Ric Bowen will be organizing the processional. Because of the presence of the other group, space may be tight, and the hallway will be partially roped off to reserve space for the processional to form and the photographer to take photos before the ceremony.
Faculty and staff will line up next to the students in this area at 6:45 p.m. As usual, faculty, professional staff and platform guests will wear appropriate academic attire.
The order of the recessional following the ceremony will be platform guests, students, faculty and staff.
Faculty and staff will be seated in the center section behind the students. Adjunct faculty are cordially invited to attend. Academic attire is not required for adjunct faculty or support staff. Seating for adjunct faculty and support staff is reserved in the center section also.
Parking
Parking is available in the Kenton County Parking Garage, surface lots, the Marriott and the Embassy Suites garage. Due to the presence of the other convention, which is the Association of College Heathcare Administrators, parking may be more challenging than usual so you may want to arrive early.
GUEST TICKETS
- A separate request form for tickets is included in this packet. Each student will be eligible to receive four tickets (free) for guests. Seating is limited. If you do not need all of your tickets, please say so on the enclosed form so that graduates requesting additional tickets can use them. If you are completing your program this spring or summer, you will be asked to fill out a college exit survey when picking up tickets. (Fall 2007 completers receive the survey with this mailing.)
- Students may pick up their tickets beginning May 1 at the Registrar Office’s at the Covington Campus, Monday through Friday between 8 a.m. and noon and from 1 to 4 p.m.
DRESS FOR GRADUATION
- Caps and gowns are required for participation.
- Men should wear dress pants, shirts, shoes and ties (no sandals or gym shoes). Women should wear dress pants/shirts/skirts or dresses and dress shoes (no gym shoes).
- Students should report to the ceremony in caps and gowns no later than 6 p.m. May 16 to register and line up for the processional.
- Caps must be worn level and straight with tassels on the left side of the cap.
- Please do not plan on carrying flowers, purses, or any other items into the ceremony.
CEREMONY
Diagram of the room and full instructions for the processional and recessional:
- Upon arrival go to the check in desk to pick up your name cards and to verify the information listed. (A)
- After completing check in proceed to the line up area (B), Here the ushers will ask you to get in a single line in alphabetical order A-Z.
- At this time place your tassels on the left side of your cap.
- Once the line is set up you will proceed to the photographer (C) to have your graduation picture taken.
- After your picture is taken maintain your position in the line and proceed to point (D)

- The ushers will divide the line into two separate and equal lines, PLEASE REMAIN IN POSITION.
- When the ceremony begins the usher at the door will direct you when you should start walking.
- Take your time, you will be walking with someone from the other line, stay together and proceed to the next set of ushers (F)
- When arriving at the ushers, the line on the left will fill the chairs on the left, while the right will fill the chairs on the right. Be aware that both lines will be split every 12th person. Move to the very end of the row and remain standing until the speaker says to be seated.

- When the times comes to receive your Degree, Diploma, or certificate, the ushers will direct each row to stand up, one row at a time starting with the first row on the left. You will move to the right of your row to the bottom of the stage (G)
- The usher at the bottom of the stage will direct you up the ramp to the announcer’s podium (H).
- Hand the information card to the announcer and wait for your name to be called before moving to the center of the stage. (I)
- After shaking the president’s hand and your family has taken your picture, continue to move across the stage to the far left ramp.(J)
- The usher at the bottom of the ramp will direct you back to your chair. Please return to your original seat.
If you were sitting on the right side, return by going behind the graduates on the center aisle then back to you original row and seat.
- Once at your seat you may sit down.

- Upon completion of the ceremony, the ushers will direct your row to leave. Please take your time and leave with a person from the other row across from yours.
- Continue to walk down the center aisle where you entered.
- At the door, keep moving through the door and to the right towards the lobby. DO NOT STOP IN THE DOOR WAY OR YOU COULD GET RUN OVER!

Additional Instructions
- Adhere to all directions during the ceremony.
- When marching into the auditorium, you will be positioned a few feet from the person in front of you. Walk at a steady pace and maintain that distance as you march down the aisle.
- Upon reaching your seat, remain standing until all graduates are instructed to be seated.
- For the presentation of credentials, each row will rise, one at a time, as directed by an usher.
- After receiving your credential cover, shake hands with the President/CEO of the college, Dr. G. Edward Hughes, return to your seat and be seated.
- After the ceremony, you will be instructed by an usher to rise in unison to march from the hall.
- During the recessional, do not stop walking until you are all the way out of the auditorium.
CREDENTIAL VERIFICATION FOR COMMENCEMENT PARTICIPANTS and CALLOUT CARDS
- When you come to the Registrar’s Office at the Covington Campus to pick up your commencement tickets, you will be asked to verify the credential(s) you expect to receive on graduation night. This step is intended to ensure that your expectations agree with college records. It is also intended to eliminate any misunderstanding over the official name of your credential. Only official credential names are used.
- This verification step will be used to create “Credential Callout Cards.” When you register at the Convention Center on graduation night, you will be given your Credential Callout Card that contains your name and the credential as it will be read when you march across the stage.
- As you approach the stage, you will hand your card to a staff member positioned next to the stage. She/he will give the card to the Dean of Students who announces your name and credential. It is critically important that:
- You retain the card until you get to the stage;
- You do not write on or damage the card (we need to see your name!);
- You do not change the credential listed on the card.
- In the case of multiple credentials, only the highest level credential will be read. For example, if you are receiving a degree that includes embedded certificates, only the name of the degree will be read. If you are receiving multiple credentials of equal weight, all will be read.
DEGREES/DIPLOMAS/CERTIFICATES
- Credentials for spring completers will be distributed about four weeks after commencement.
PHOTOGRAPHY
- Each graduate will be photographed individually before the processional and as he/she receives his/her credential cover. Graduates will be mailed a color proof at no charge and without obligation to purchase the photo. Graduation photos can be viewed online at www.gradsontheweb.com. The photographer will include instructions for online viewing when proofs are mailed.
COMMENCEMENT VIDEOS
- Graduation ceremonies will be videotaped and broadcast in Kenton and Boone counties on CPC Channel 22 on Insight Cable at 7 p.m. on May 24 and 31 and June 7, 14, 21 and 28. Go to www.tbnk.org for schedule information.
- You may also purchase a personal copy of the video directly from the Telecommunications Board of Northern Kentucky. To purchase a copy, go to the TBNK office at 3414 Decoursey Avenue, Covington, after May 23, 2008. You will need to wait 15 minutes while a copy is made, or you can go back later to pick it up. The cost is $20.00 (cash only).
